Two Must-Have QuickBooks Pro Utilities

If you use Intuit’s QuickBooks Pro for your small business accounting, then this article is a must read. Because if your business is prospering with lots of customers and transactiond, then there will come a time, either sooner or later, that your database will get unusually large, and less manageable, possibly slowing your computer and access to your files.  In fact, QuickBooks Pro has a suggested limit to the size of your company file from 10MB to 50MB.  The file can grow larger, but the program and computer’s performance can be adversely affected beyond the 50MB; slow data access, delay in printing or search delays, to mention a few.  This does depend on the speed of your computer and the amount of memory you have.  Faster computers with more memory will have less impact on larger files, while older systems with less memory may just slow to a crawl with very large company files.  When that happens, or even before, you may be thinking, “I’ll just divide the database into smaller portions.  QuickBooks should have that feature. “Well, guess what? After a quick search you’ll find you can’t break up your database within QuickBooks Pro.  No such feature is provided.  You’re basically, out of luck. Well, not quite.  On your search through QuickBooks help you may find a reference to third party developers and a solution to the problem.  Or, just visit mareketplace.intuit.com and search the site for recommended QuickBooks Pro utilities for whatever you need to accomplish.   And I found two utilities referenced, specifically for data transfer.  Read on.

Data Transfer Utility By Karl E. Irvin, CPA. Free trial version

The Data Transfer Utility allows QuickBooks users to quickly transfer and merge list and transaction data from one QuickBooks file to another QuickBooks file without erasing or overwriting existing data. Small transfers can be made in less than a minute. You may want to break up your company data by the year.  This utility can do that for you.
